# Email from Avox

> The emails Avox sends, which ones you can turn off in Compliance, newsletter preferences and unsubscribe links, and fixing missing emails.

Source: https://docs.theavoxai.com/integrations/email

Avox emails you about your account, your WhatsApp numbers, billing and your team. Emails come from
**Avox**, and replying to any of them reaches the Avox support team (hello@theavoxai.com). Most are
service emails that always go out; four kinds can be switched off per Switchboard; and the newsletter is
a separate opt-in.

The full list of every email, with subjects, is on [Emails](https://docs.theavoxai.com/emails).

## What Avox sends

| Group | Examples | Can you turn it off? |
| --- | --- | --- |
| Account access | Sign-up confirmation codes, email change confirmations | No - always sent |
| Security | Password or email changed, two-factor on or off, sign-in method added or removed, new sign-in, API key created or revoked, API key alerts | No - always sent |
| Billing | Payment receipts, failed payments, plan changed, cancellation confirmed, refunds, plan ending soon, plan ended | No - always sent |
| Team and support | Switchboard invites, member joined or removed, support replies | No - always sent |
| Connections and usage | Number connected or removed, message forwarding paused, automation credit warnings | No - always sent |
| WhatsApp account alerts | Alerts Meta sends about your account, a template rejected, paused or disabled, a Flow blocked or throttled, a Meta access token about to expire | Yes - **WhatsApp account alerts** |
| API problem reports | Requests Avox makes to Meta for you keep failing - sending a message, changing a template or Flow, or updating a number's settings | Yes - **WhatsApp API problem reports** |
| Setup nudges | No plan a few days after sign-up; a connection stuck mid-setup | Yes - **Setup reminders** |
| Announcements | Product updates and announcements, including email copies of dashboard notifications | Yes - **Product news and announcements** |

Alerts and reports are limited so they don't repeat: the same critical alert or API problem is
emailed at most once a week, and each setup nudge at most once every two weeks.

## Setting your email preferences

**1. Open Compliance**

In the dashboard, go to [Compliance](https://docs.theavoxai.com/compliance) and find **Email Preferences** ("Manage optional organization-wide emails").

**2. Choose what you want**

Turn each of the four switches on or off.

**3. Save**

Click **Save Email Preferences**. You'll see "Email preferences saved".

- Preferences apply to the whole Switchboard. Only an **Admin** can save them.
- All four are on by default.
- Required emails are always sent and can't be turned off: sign-in and security notices, billing and payment emails, team invites and changes, support replies, automation credit warnings, and WhatsApp numbers being connected or removed.

> **Warning**
>
> Turning off **WhatsApp account alerts** means you won't be emailed when Meta flags
> your account, a template is paused, or a number's access is about to end.

## Newsletter and unsubscribe links

The Avox newsletter ("Product updates & newsletter") is separate from your account emails.

- **Unsubscribe:** every newsletter email has an unsubscribe link, and supports one-click
unsubscribe in email apps. The page **Unsubscribe from Avox updates?** confirms with
**Unsubscribe**, and you can **Resubscribe** any time.
- **Preferences:** the **Manage preferences** link opens **What we send you**, with one switch for
  the newsletter.
- Unsubscribing from the newsletter leaves receipts, security codes and account notices
  unaffected - "those aren't marketing".
- Announcement emails to your account have **Unsubscribe · Manage preferences** in the footer,
  which open [Compliance](https://docs.theavoxai.com/compliance).
- Every announcement is also published on avox.com/announcements, with an RSS feed, if you'd rather
read them there. Product changes are listed in the docs [Changelog](https://docs.theavoxai.com/changelog).

## Check it's working

- After saving, reload [Compliance](https://docs.theavoxai.com/compliance) and check the switches kept your choices.
- Trigger a harmless always-sent email - for example, connect Google in **Settings > Profile** - and
look for "Google sign-in was added to your Avox account".

## Common problems

| Problem | Fix |
| --- | --- |
| "Couldn't save email preferences" | Only an Admin can save them. Ask an Admin, or try again. |
| An email never arrives | Check spam and filters, and add Avox's sending address to your contacts. Check the address on [Profile](https://docs.theavoxai.com/settings/profile). |
| Alerts go to someone else | Alerts go to the Switchboard's Admins (some only to its Owner, the first Admin), not every member. See [Emails](https://docs.theavoxai.com/emails). |
| A code hasn't arrived | Wait a minute and check spam before requesting another. |
| Still nothing | Open a ticket in [Support](https://docs.theavoxai.com/support) or email hello@theavoxai.com. |

## Security

- Avox never asks for your password by email. Codes are only for the screen you requested them on.
- Security emails ("New sign-in", "Your Avox password was changed") always go out, so you hear about
changes you didn't make. If you don't recognise one, change your password and review
  [Sessions](https://docs.theavoxai.com/security/sessions).

## Build your own server for Email

Your own server isn't involved. Avox sends every email itself, and your preferences are saved in the dashboard. To keep your team informed from your own systems, use those systems' own email, or send WhatsApp messages through the [Avox API](https://docs.theavoxai.com/integrations/avox-api).

## FAQ

**Can I stop billing emails?**

They're mandatory service emails, so they always go out to the right person.

**Do my teammates get the same emails?**

Personal emails (sign-in, security) go to each person. Alerts and billing go to the Switchboard's
Admins - some to every Admin, some only to the Owner (the first Admin). See [Emails](https://docs.theavoxai.com/emails).

**Can I reply to an Avox email?**

Yes. Replies go to the Avox support team, so you can ask about any email by replying to it.

**Why did I get a 'New sign-in' email?**

Avox emails you when your account is used from a device it hasn't seen in the last 30 days. If it
wasn't you, change your password and review [Sessions](https://docs.theavoxai.com/security/sessions).

**Who can change the email preferences?**

Any Admin of the Switchboard. The choices apply to the whole Switchboard, not to one person.

**Can I get WhatsApp alerts instead of email?**

Avox alerts are sent by email. To message your team on WhatsApp from your own systems, use the
[Avox API](https://docs.theavoxai.com/integrations/avox-api).

**Where's the full list of subjects?**

On [Emails](https://docs.theavoxai.com/emails).
