# PayPal Payments for Avox Plans

> How Avox plans are paid through PayPal - checkout, subscriptions and one-time payments, receipts, failed payments and cancelling.

Source: https://docs.theavoxai.com/integrations/paypal

Avox plans are paid through **PayPal**. Checkout opens PayPal's own secure window, so your payment
details stay with PayPal. Monthly and Yearly plans run as a PayPal subscription; One-time is a
single PayPal payment that covers a full year.

The full billing guide is on [Billing](https://docs.theavoxai.com/billing), with [Change plan](https://docs.theavoxai.com/billing/change-plan),
[Cancel](https://docs.theavoxai.com/billing/cancel), [Invoices](https://docs.theavoxai.com/billing/invoices) and
[Coupons and gifts](https://docs.theavoxai.com/billing/coupons-and-gifts).

## Billing options

| Option | How PayPal charges | Renews? |
| --- | --- | --- |
| **Monthly** | A PayPal subscription, charged every month. | Yes, automatically. |
| **Yearly** | A PayPal subscription at a discounted monthly price, billed monthly for a 12-month commitment. | Yes, automatically. |
| **One-time** | One PayPal payment that covers the full year, at a discount. | No - it ends after the year. |

The current prices and discounts are on the pricing page and [Plans](https://docs.theavoxai.com/plans). Every plan is paid in
US dollars: PayPal charges the USD amount shown at checkout, and the line under the PayPal button says
"PayPal charges you in US dollars (USD)." Where a price is shown in Indian rupees, it's an estimate
at today's exchange rate.

## Requirements

- An Avox account, signed in. Checkout keeps your chosen plan if you sign in on the way.
- A PayPal account.
- The **Admin** role in your Switchboard to buy, change or cancel a plan.
- Cookies for "Third-party integrations" allowed when you pay - PayPal's checkout only loads then.

## Paying for a plan

**1. Pick a plan**

On the pricing page, choose **Monthly**, **Yearly** or **One-time**, then click the button on the plan you want.

**2. Your details**

Step 1 of 3: **Your name**, **Business name**, email and **Phone number**. Click **Save & Continue**.

**3. Billing address**

Step 2 of 3: your address. Click **Save address & Continue**.

**4. Checkout**

Step 3 of 3: check the **Checkout summary**, apply a coupon with **Have a coupon?** if you have one, and tick the box to agree to the Terms of Service, Privacy Policy and Cancellation & Refund Policy.

**5. Pay with PayPal**

Click the PayPal button. If you haven't allowed third-party integrations in the cookie banner, click **Allow PayPal to load and continue** first. Approve the payment in PayPal's window.

**6. Confirmation**

The thank-you page shows "Confirming your payment…", then "You're all set".

A coupon that covers the whole price skips PayPal: the button becomes **Activate** with your plan
at $0.

## Check it's working

- The thank-you page says "You're all set" - "Your subscription is active."
- [Billing](https://docs.theavoxai.com/billing) shows your plan as **Active**.
- For a Monthly or Yearly subscription, the Switchboard's Owner receives the **Payment receipt** email
("Your Avox ... plan is active").
- **Billing > Manage subscription** shows **Paid via** PayPal and the **Next billing date**.

## Receipts and invoices

- Each Monthly or Yearly subscription payment emails a receipt to the Switchboard's Owner (its first
Admin): "...plan is active" for the first payment, "...plan renewed" for each renewal.
- **Manage subscription** lists every payment under **Payment history** (**Date**, **What**,
**Amount**, **Status**, **Invoice**) and every invoice under **Invoices**, with references like
  `INV-000123`. See [Invoices](https://docs.theavoxai.com/billing/invoices).

## Failed payments

When a renewal fails, PayPal retries it automatically. Meanwhile:

- Your plan shows **Payment due**, and everything keeps working - numbers, automations and the API.
- The Owner is emailed "Your last payment for Avox ... didn't go through", and the Billing page shows
"Your last payment didn't go through" ([AVX-3003](https://docs.theavoxai.com/error-codes/avx-3003)) with **Fix billing**.
- If PayPal suspends billing after repeated failures, the plan is **Paused** and connected numbers
pause. Update your payment in PayPal; when PayPal resumes billing, everything switches back on.

## Changing or cancelling

- **Change plan:** on [Billing](https://docs.theavoxai.com/billing), click **Change plan**. For subscriptions you approve the
new price in PayPal, and it applies from your next billing date. See
  [Change plan](https://docs.theavoxai.com/billing/change-plan).
- **Cancel in Avox:** **Manage subscription > Cancel subscription**. You won't be charged again,
and your plan keeps working until the end of the period you've paid for. Cancelling a Yearly plan
before its 12 payments are made has an early-cancellation fee, shown in the dialog and paid
  through PayPal. See [Cancel](https://docs.theavoxai.com/billing/cancel).
- **Cancel in PayPal:** you can also cancel the subscription from your PayPal account. Avox picks
it up automatically: your plan keeps working until the end of the paid period, and you're notified
  "Your plan was cancelled".

When a plan ends, connected numbers pause until a plan is active again. They resume on their own
when you subscribe again ([AVX-3082](https://docs.theavoxai.com/error-codes/avx-3082)).

## Common errors

| You see | Fix |
| --- | --- |
| "Only a Switchboard Admin can manage billing. Ask an Admin to make this change." | Ask an Admin, or have them change your role. See [Members and roles](https://docs.theavoxai.com/switchboard/members). |
| "Agree to the terms above to continue" | Tick the terms box - the PayPal button appears after that. |
| "This session gave up on you" | The checkout tab was open for 15 minutes. Click **Back to plans** and start again. |
| "Your PayPal approval is saved - press "Try again" to finish. You won't be charged twice." | Click **Try again**. |
| "Still processing" on the thank-you page | PayPal is still clearing the payment. Nothing to do - the plan switches on when PayPal finishes. Check [Billing](https://docs.theavoxai.com/billing) shortly. |
| "Payment didn't go through" on the thank-you page | The charge didn't complete and no subscription was started. Go back and try again. |
| "You already have an active plan..." | Use **Change plan** instead of buying again, so you aren't billed twice. |
| A coupon message such as "This code expired on..." | See [Coupons and gifts](https://docs.theavoxai.com/billing/coupons-and-gifts). |

## Security

- You pay inside PayPal's own window. Avox never sees your card or bank details.
- Avox checks every payment and subscription directly with PayPal before switching a plan on, and
every update PayPal sends is verified.
- Retrying a confirmation never charges you twice.

## Build your own server for PayPal

Your own server isn't involved. Checkout, subscriptions, receipts and cancellations all happen between you, PayPal and Avox, and Avox verifies every payment with PayPal itself.

## FAQ

**Can I pay by card without PayPal?**

Checkout uses PayPal's button. PayPal's own window offers the ways to pay that PayPal supports for
your account and country.

**Which currency am I charged in?**

US dollars - the amount shown at checkout. A price shown in Indian rupees is an estimate at today's
exchange rate. If your card or bank account uses another currency, PayPal or your bank converts it at
their own rate.

**Where do I see the subscription in PayPal?**

In your PayPal account's automatic payments. You can see or cancel it there at any time.

**Who receives the receipts?**

The Owner of your billing Switchboard - its first Admin, normally the person who set up the account.
Every invoice is also on [Invoices](https://docs.theavoxai.com/billing/invoices) for every member to see. See [Emails](https://docs.theavoxai.com/emails).

**Is there a refund policy?**

Yes - every plan has a 15-day money-back guarantee on its first payment, refunded through PayPal. Ask from **Billing > Manage subscription > Request help / refund**. See
[Refunds](https://docs.theavoxai.com/billing#refunds).
