# Switchboards (Workspaces)

> What a Switchboard is, and every tab of Settings > Switchboard: General, Workspaces, Members, Invitations, and Activity.

Source: https://docs.theavoxai.com/switchboard

A **Switchboard** is a workspace. It has its own WhatsApp connections, contacts, conversations,
templates, Flows, automations, and team. You can belong to several - an agency running numbers for a
few clients, for example, keeps each client in its own Switchboard - and switch between them at any
time.

Everything about the Switchboard you're viewing lives in **Settings > Switchboard**. The page has
five tabs: **General**, **Workspaces**, **Members**, **Invitations**, and (for Admins) **Activity**.

> **Note**
>
> Your plan's WhatsApp connections are one shared pool across every Switchboard where you're an
> Admin. Templates, Flows, and automations are different: each Switchboard gets its own allowance.
> The live numbers for each plan are on [Plans](https://docs.theavoxai.com/plans).

## Roles

Every member is an **Admin** or a **Manager**, and the Switchboard's first Admin is its **Owner**.
Admins run the Switchboard; Managers do the day-to-day work. An Admin can also give a Manager extra
permissions, or take some away, one person at a time. The full, area-by-area list is on
[Members and roles](https://docs.theavoxai.com/switchboard/members).

## General

The Switchboard's identity and the actions that affect the whole workspace. It opens with an overview
card: the Switchboard's logo and name, your role, its **Plan** (or "Covered by the owner's plan"), when it
was **Created**, how many **Members** it has, and its **WhatsApp numbers** (how many are connected).
Below it, the **Name and logo** card ("How this Switchboard shows up in the switcher and to your
team") and, under **Pause or delete**, the pause and delete cards.

| Field or button | What it does | Who |
| --- | --- | --- |
| **Name** | The Switchboard's name inside Avox, 1 to 60 characters. It's how you and your team tell Switchboards apart; it isn't sent to WhatsApp customers. | Admin |
| **Change icon** | Uploads an image as the Switchboard's logo straight away ("Logo updated"). A square image works best; it shows as a circle. Without one, a generated avatar is shown. | Admin |
| **Save changes** | Saves the name. You see "Switchboard updated". | Admin |
| **Leave Switchboard** | In the settings menu (bottom of the sidebar; on a phone, the bottom of each settings page). Removes you from this Switchboard after you confirm. The only Admin can't leave, and is offered to pause or delete the Switchboard instead. See [Leaving a Switchboard](https://docs.theavoxai.com/switchboard/members#leaving-a-switchboard). | Admin, Manager |
| **Pause Switchboard** | Stops every number and automation, keeps all data, resume any time. See [Pausing a Switchboard](#pausing-a-switchboard). | Admin |
| **Delete Switchboard** | Permanently deletes the Switchboard and everything in it. | Admin |

The name your WhatsApp customers see is your business name in [Business](https://docs.theavoxai.com/settings/business) and the
display name approved by Meta - not the Switchboard name.

Errors: [AVX-2003](https://docs.theavoxai.com/error-codes/avx-2003) (name not valid), [AVX-2004](https://docs.theavoxai.com/error-codes/avx-2004) (couldn't
save), [AVX-2005](https://docs.theavoxai.com/error-codes/avx-2005) (logo didn't upload). Managers see the same fields, but only an
Admin can save them - a Manager who clicks **Save changes** sees "Couldn't save your Switchboard"
([AVX-2004](https://docs.theavoxai.com/error-codes/avx-2004)).

### Pausing a Switchboard

Want a break without losing anything? Admins can pause the whole Switchboard from the **Pause this
Switchboard** card:

**1. Click Pause Switchboard**

The card lists what happens: every connected WhatsApp number is paused (nothing is sent or forwarded
from them), every running automation is paused, and contacts, messages, templates, Flows, and settings
are all kept.

**2. Click Email me a code to pause**

Enter the 6-digit code we email you. It works once, for 10 minutes.

The card then shows **Paused** and the date. Click **Resume** any time to put back exactly what was
running. If your plan has no room for every number by then, the extra ones stay paused and you can
resume them from [Connections](https://docs.theavoxai.com/connections) once there's room. While the Switchboard is paused, its
numbers can't be resumed one at a time. Every member sees whether it's paused; only an Admin can pause
or resume it. Both are recorded in [Activity](#activity).

While a Switchboard is paused:

- A **Switchboard paused** banner shows at the top of every dashboard page, with the date and a
**Resume** button: "Its numbers, automations and forwarding are stopped and nothing is sent until
it's resumed. All your data is kept."
- Automations can't be turned on ([AVX-3410](https://docs.theavoxai.com/error-codes/avx-3410)).
- [Avox API](https://docs.theavoxai.com/avox-api) sends are refused with [`switchboard_paused`](https://docs.theavoxai.com/api/errors#switchboard_paused).
- [Message forwarding](https://docs.theavoxai.com/connections/webhook-override) stops. Anything that was already waiting to be
forwarded goes out once the Switchboard is resumed.
- You can still read everything, and bought [automation credits](https://docs.theavoxai.com/automation/credits#buying-more-credits)
can still be added - they're used once it's resumed.

Pausing your whole account from **Settings > Security > Delete account** pauses every Switchboard
you're an Admin of in the same way - see [Pausing instead](https://docs.theavoxai.com/security#pausing-instead).

### Deleting a Switchboard

Admins delete a Switchboard right on the **Delete this Switchboard** card, not in a pop-up. It first
lists what will be deleted - its WhatsApp numbers and message history, contacts, templates, Flows,
automations, members' access, API keys, invoices, and any subscription billed here - immediately and with
no recovery window.

**1. Type the Switchboard's name**

Type the name exactly as shown, including capital letters, then click **Email me a code**.

**2. Enter the code**

Enter the 6-digit code we email you. It works once, for 10 minutes. **Send a new code** if it
doesn't arrive.

**3. Hold to delete**

Press and hold **Hold to delete** for 2 seconds while the ring fills (on a keyboard, hold Space or
Enter). Let go early to cancel. If your device is set to reduce motion, click it once, wait 2
seconds, then click again to confirm. The Switchboard is deleted and you're taken back to the
dashboard home.

Avox refuses the delete in two cases, so a plan or a person is never left stranded:

- **It's the only Switchboard where you're an Admin** - "This is your only Switchboard - create another
one first if you want to delete this one." To close your last Switchboard, contact
  [Support](https://docs.theavoxai.com/support).
- **Your plan is billed through it** - "Your plan is billed through this Switchboard - cancel the
subscription first, then delete it." See [Cancel](https://docs.theavoxai.com/billing/cancel). A cancelled plan keeps running
until its end date, so the delete goes through once the plan has ended.

What's removed and what's kept is covered on [Data deletion](https://docs.theavoxai.com/data-deletion).

## Automation credit limit

On a plan paid as **One-time** (a full year upfront), Admins also see an **Automation credit limit**
card under General. It sets a monthly cap on how many [automation credits](https://docs.theavoxai.com/automation/credits) this
Switchboard can spend - a budget guard below what the plan grants, not a billing setting.

- Tick **Set a monthly limit** and enter a whole number of credits, 0 or higher, then **Save limit**.
- Leave it unticked for "No limit - automations can use this Switchboard's full plan grant."
- Once the cap is reached for the month, automations stop sending, the same as running out of the
plan's own credits. **Mark as read** and **Tag contact** actions keep working because they don't
  spend credits.

If saving fails you see [AVX-3081](https://docs.theavoxai.com/error-codes/avx-3081). More on how credits work:
[Automation](https://docs.theavoxai.com/automation#monthly-credit-limit).

## Workspaces

**Your Switchboards** lists every Switchboard you belong to, with its logo and name.

- The one you're viewing is marked **Currently viewing**.
- **Switch to this one** opens another Switchboard. The choice is remembered on this browser.
- **New Switchboard** opens the create page - see
  [Creating a new Switchboard](https://docs.theavoxai.com/switchboard/invites#creating-a-new-switchboard).

## Members

Everyone with access, their **Joined** date, and their **Role**. Admins can remove anyone except
themselves, and change anyone's role between Admin and Manager from the **Role** menu (with a confirm
step - the only Admin can't step down). Admins open a member's **Permissions** to change what a Manager
can do. Nobody can change their own access: on your own row it's **Your access**, which you can look at
but not change ("You can't change your own access"). Managers can't open anyone's permissions. See [Members and roles](https://docs.theavoxai.com/switchboard/members#the-member-list)
and [Changing someone's role](https://docs.theavoxai.com/switchboard/members#changing-someones-role).

## Invitations

Every invite sent for this Switchboard and its status - pending, accepted, revoked, or expired.
Admins see **Invite** and can **Revoke** a pending invite. See [Invites](https://docs.theavoxai.com/switchboard/invites).

## Activity

Admins only: the 50 most recent team and settings actions on this Switchboard, filterable by member.
See [The Activity log](https://docs.theavoxai.com/switchboard/members#the-activity-log).

## Which Switchboard you're in

Most pages - Inbox, Contacts, Templates, Compliance, and so on - show the Switchboard you're currently
viewing. Billing is the exception: your plan lives on the first Switchboard you joined and covers every
Switchboard where you're an Admin, so **Billing** shows the same plan whichever Switchboard is open. See
[Billing](https://docs.theavoxai.com/billing).
