# Table Analytics, Used By and Settings

> See how a table is used over time, every Flow, automation, template and app that uses it, and change its name, API name and grid settings.

Source: https://docs.theavoxai.com/tables/analytics

Every table has three tabs next to its data: **Analytics** shows how it's used, **Used by** shows
what uses it, and **Settings** holds its details. Anyone with **See tables** can open all three;
changing settings needs **Create and edit tables**.

## Analytics

Pick a range: the last 7, 30, 90 or 365 days. Days are counted in UTC.

| Part | What it shows |
| --- | --- |
| **Rows over time** | How many rows the table held at the end of each day, with the rows added and deleted that day. |
| **Reads and writes by source** | Each day's reads and writes, split by where they came from: Flows, automations, templates, the API, apps, imports and the dashboard. Writes are rows added, changed or deleted, from anywhere, including your own edits. Reads are counted for Flows, automations, templates, the API and apps; opening the table in the dashboard isn't counted. |
| **Top lookups** | The values Flows and automations looked up most in this table, like the pincodes customers checked or the order numbers they asked about, with how many times. |
| **Last used** and **Last edited** | When a Flow, automation, template, the API or an app last read or wrote the table, and when its rows were last changed. |
| **Rows now** | The table's rows today, and how many miss a value in a required column. |

Daily figures are kept for about a year.

## Used by

**Used by** lists everything connected to the table, grouped by kind:

- **Flows** that show rows from it, look up a value in it or save answers into it,
- **Automations** that start from the table (a row added or changed, a date in a row, a booking)
or find, add, change, count or delete its rows,
- **Templates** whose variables an automation fills from its rows,
- **API keys** that read or write it, and
- **Apps** that use it.

Each one shows its name (click it to open it), which part uses the table, and the columns it uses
(or **Uses the whole table**).

### Used by Flows

A live Flow is listed once per screen that uses the table: the part is the screen's id (for example
`SLOT`), and the details say what the screen does with it (shows rows when it opens, holds a slot
when it's submitted...). The list follows the Flow: connecting a table, changing a screen's steps,
or deleting the Flow updates it at once. Flows keep columns by their id, so renaming a column, the
table or its API name never breaks a Flow. Deleting a column it uses, or archiving the table when
the Flow saves to it, marks it **Needs attention**: the screen shows customers a "try again"
message until you fix it on the Flow's page. See [Live Flows](https://docs.theavoxai.com/flows/live-endpoint).

### Used by automations and templates

An automation is listed once for its trigger, when the trigger watches the table, and once for
each step that uses the table, with the columns each one uses. A template is listed when an
automation fills its variables from the table's rows. The list follows the automation: saving it
or deleting it updates the list at once.

Automations keep columns by their id too, so renaming never breaks them. When one needs
attention, opening it shows what to fix ([AVX-3589](https://docs.theavoxai.com/error-codes/avx-3589),
[AVX-3590](https://docs.theavoxai.com/error-codes/avx-3590)), and a run that reaches the broken step stops with the reason in
its [run log](https://docs.theavoxai.com/automation/run-log). See [Automations with tables and Flows](https://docs.theavoxai.com/automation/tables).

### Needs attention

A use is marked **Needs attention** when something changed that may stop it working:

| Reason | What to do |
| --- | --- |
| A column it uses was deleted | Open it and choose another column. |
| A column it uses changed type | Open it and check it still works with the new type. |
| The table was archived | It can still read the table but not change it: lookups keep working, but adding, changing, counting or deleting rows stops. Restore the table, or point it at another one. |
| It was deleted | Nothing to do: its link to the table is no longer used. |

Restoring an archived table clears the archived mark.

## Settings

| Section | What you can change |
| --- | --- |
| **Details** | The table's **Name**, **Description**, **Icon**, **Colour** and **Kind**: how the table looks in your list of tables. |
| **API name** | The name Flows, automations and the API use to find the table: small letters, numbers and `_`, starting with a letter, up to 60 characters, different from every other table in the Switchboard. Changing it breaks anything that uses the old name, so change it before you connect the table. |
| **Grid** | How the Data tab shows the table for everyone in the Switchboard: **Row height**, **Frozen columns**, and the **Title column** that names each row on phones. |
| **Columns** | Each column's API name, type, and whether it's required or unique. Edit columns on the Data tab. |
| **Plan** | The rows in this table and the tables in this Switchboard, against your plan's limits. See [Plans](https://docs.theavoxai.com/plans). |
| **Download** | Every row as a CSV file that opens in Excel and Google Sheets. |
| **Manage** | Copy, archive or delete the table. |

### Copy, archive and delete

- **Copy**: makes a new table with the same columns, and the rows too if you choose. The copy
counts as a new table on your plan. Where the original is used isn't copied.
- **Archive**: keeps every row, readable by Flows, automations and the API, but nobody can change
it. Archived tables count towards your plan's tables. Restore it any time.
- **Delete**: removes the table and its rows for good. Type the table's name to confirm.

When a Flow, automation or template uses the table, archiving or deleting it shows the list first
and asks you to confirm ([AVX-3489](https://docs.theavoxai.com/error-codes/avx-3489)).
